Cancellation & Refund Policy
Event Registration Cancellation
We understand that circumstances may change, and you may need to cancel your event registration. This policy outlines our procedures for cancellations and refunds.
đ¯ Key Policy Points: Cancellations must be requested in writing at least 14 days before the event to receive a full refund. Cancellations within 14 days will be subject to a 50% processing fee.
Cancellation Timeline
- More than 21 days before event: Full refund (100%) minus any applicable administrative fees
- 14-21 days before event: 75% refund of the registration fee
- 7-14 days before event: 50% refund of the registration fee
- Less than 7 days before event: No refund, but you may transfer your registration to another person
- After event date: No refunds or transfers available
Webinar and Training Program Cancellation
For webinars and online training programs, the following cancellation policy applies:
- Registrations can be canceled up to 3 days before the webinar date
- A recording of the webinar will be made available to registered participants who cannot attend
- Refunds for webinar registrations follow the same timeline as in-person events
- Online access passes are non-transferable
Membership Cancellation
Members may cancel their membership at any time by submitting a written request to the OTSI secretariat. Please note:
- Membership cancellations are effective immediately upon receipt of the request
- Annual membership fees are non-refundable once the membership year has commenced
- Members may request membership pause for up to one year without losing membership status
- All membership benefits cease upon cancellation
- Cancellation does not affect previous access to published materials or conference proceedings
Event Cancellation by OTSI
In the event that OTSI must cancel an event, the following procedures apply:
- OTSI will notify all registered participants as soon as possible via email
- Full refunds will be processed within 30 days of the cancellation notice
- Participants will be offered the option to attend a rescheduled event at no additional cost
- Alternative dates will be communicated within 14 days of the cancellation
âšī¸ Note: Events may be canceled due to unforeseen circumstances such as natural disasters, severe weather, emergencies, or other factors beyond OTSI's control.
How to Request a Cancellation
To request cancellation of your event registration or membership, please:
- Send a written request to otsi2026@gmail.com
- Include your full name, membership/registration ID, and the event or membership you wish to cancel
- Provide the reason for cancellation (optional but appreciated)
- Confirmation of your cancellation request will be sent within 2 business days
- Refunds will be processed within 30 days to your original payment method
Refund Processing
All refunds are processed through the original payment method used during registration. Refund timelines:
- Credit/Debit Card: 5-7 business days
- Bank Transfer: 7-10 business days
- Check: 10-15 business days (if applicable)
Special Circumstances
OTSI may consider requests for refunds or cancellations outside these standard policies in special circumstances, such as:
- Documented medical emergencies
- Bereavement or family emergencies
- Significant travel disruptions due to unforeseen events
Requests for special considerations must be submitted in writing with supporting documentation to the OTSI secretariat for review.
No-Show Policy
Participants who register for events but do not attend without prior cancellation notice are considered "no-shows." While no additional charges apply, no-show records are maintained and may affect future registration eligibility or membership renewal.
